MEET YOUR P&C
Our P&C structure consists of 5 executive office bearers: the President, two Vice Presidents, Treasurer and Secretary, along with 6 general executive members. We also have a number of Sub Committee Convenor roles, Coordinator Roles and committee members. These roles our outlined in our constitution and the P&C Federations guidelines. Together we work as a team to support the planning and execution of all P&C activities.
To ensure our P&C can function, all of the roles below need to be filled and supported by a greater team of volunteers.
Therefore, we are always looking for people who are interested in succession planning or sharing a role. If you’re interested (or even just curious), then either get in touch directly with any of the team, or just start attending P&C meetings, events and join in any P&C activities which will give you great insight into how it all works and give you opportunity to ask questions and get involved.

P&C PRESIDENT
Costa Cominos, P&C President, elected 2022, 2023, acting 2024
Our family joined the school community in 2019 when our eldest son Alexander started Kindergarten, followed by Nicholas in 2021 and our daughter Evangeline in 2023.
Erenie and I joined the P&C as soon as Alex started at the School and I took on the role of Secretary from 2020 to early 2022. My parents ran the P&C at Kensington Public School when I went to school there, so it was a natural inspiration for me to volunteer. In addition to the Exec roles, I've run a couple of events, worked in the canteen and Erenie has been class parent and Sushi delivery driver in addition to our hectic real jobs.
I really hope to see more Fathers volunteer their time to match the amazing contribution of the Mothers at our School. Many hands make light work so we'd love to have every parent and carer volunteer one hour of their time per Term, whether that's in the canteen, at the Uniform Shop, be part of our gardening bees, or help at one of our events such as the Walkathon.

The President is elected at the P&C Association’s Annual General Meeting.
Duties The President is responsible for:
The successful functioning of the P&C Association meetings
The attainment of the P&C Association’s objectives
Ensuring that the P&C Association takes part in decision-making processes in the school
Fostering fair participation of all members and ensuring that all new members are made to feel welcome
Supporting volunteers
Consistent adherence to the constitution
Acting as the P&C Association’s spokesperson when public statements or actions are needed
Setting up lines of communication with the Principal
Being signatory on the Association’s bank accounts
Chairing meetings, in the absence of the President, one of the Vice-Presidents will chair the meeting or the meeting can elect a chairperson from the members present for that meeting.

The Vice-Presidents should:
Chair meetings or parts of meetings under the direction of the President.
Chair meetings in the absence of the President.

Take on the responsibility of supporting / leading sub-committees.
Represent the President if the President is not available.

P&C SECRETARY

Role Of The Secretary
The Secretary is responsible for carrying out the administrative tasks related to the decisions of the meetings as resolved. The Secretary prepares, in consultation with the President, all meeting agendas.
The Secretary is required to attend P&C Association meetings and take notes of the discussions in order to produce a set of Minutes for subsequent distribution to members and for receipt, possible amendment and adoption at the following meeting. (In the absence of the Secretary the meeting should elect a person to take the Minutes, this person should be identified in the Minutes.)
Further, the position includes receiving and tabling all correspondence as well as writing and dispatching outgoing correspondence as resolved/appropriate. The Secretary also issues notice of all meetings and maintains official records of the P&C Association such as the constitution, by-laws, rules of subcommittees, Incorporation Certificate, ABN details, list of financial (voting) members, Minutes, Attendance book.

Role Of The Treasurer
Whilst all P&C members must be mindful of complying with financial accountability requirements, this is the Treasurer’s primary responsibility.
The Treasurer receives and deposits monies for events, ensures records are maintained, is the authority for our online banking, so needs to be available fortnightly to authorise transactions and presents accounts to the P&C. The Treasurer also ensures that all funds held and handled by P&C are properly and openly accounted for as the Treasurer is responsible for all funds held in the name of the P&C Association. This includes all P&C Association committees. This does not mean that the Treasurer must undertake the actual bookkeeping themselves but they must ensure that the various sub-committee financial records have been kept to the Treasurer’s satisfaction. We use xero accounting software and all data entry for our 3 business divisons, Canteen, Uniform shop and P&C is done by our P&C employee.
The Treasurer is a signatory on the P&C accounts and should not delegate this responsibility. The Treasurer should encourage members to understand the state of the P&C Association finances. The Treasurer must ensure a case book or books are kept, recording all financial transactions of the P&C Association.
